KIBANDA ENSURES OPTIMAL COMMUNICATION BETWEEN RENTERS AND PROPERTY MANAGEMENT

Liegenschaften Stadt Zürich commissioned us with the introduction and installation of our in-house development Kibanda, the innovative solution for facilities management with SAP, as a management and renters’ portal. The aim was to achieve professionalized and efficient communication between renters and management, improve accessibility for renters’ concerns and relieve management of administrative tasks.

THE CHALLENGES

The challenges involved in realizing this project were varied and demanding. One of the main difficulties was the complexity of the relationships that the portal had to map. The relationships between renters and property managers had to be made clear and user-friendly, with the integration of different systems for seamless processes proving to be particularly challenging. A high level of user-friendliness was also essential to ensure that the portal could be operated intuitively by all user groups.
The scalability of the system was also of crucial importance, as the portal was developed for municipal properties and therefore had to function efficiently even with an increasing number of properties and users.

OUR APPROACH

By installing two central portal solutions, Kibanda Go for renters and Kibanda Cockpit for internal users, we created a consistent environment. This not only enables the simple creation of damage reports, but also includes an efficient ticket process. To this end, we ensured seamless integration into the existing SAP systems of Liegenschaften Stadt Zürich, in particular SAP S/4HANA, SAP PM/MM and SAP RE-FX. We also developed additional functions at the customer's request, such as tenant change logs, room reservations and notification functions.

The portal offers the 20,000 renters the opportunity to submit damage reports quickly and easily, even outside normal business hours. At the same time, property managers benefit from semi-automated processes that provide them with precise information on damage reports, while the processing status can be conveniently tracked in the portal. Registration takes place via the central municipal access "My Account".

 

The Kibanda Cockpit supports 100 employees in the efficient management of ticket processes and ensures a smooth workflow. In addition, extensive reports are available to employees at the click of a mouse.

 

With the partial automation provided by Kibanda, Liegenschaften Stadt Zürich is improving the efficiency of internal resources and reducing waiting times for the repair of damage. It also takes account of tenants' increasing expectations of a 24-hour society, which leads to greater customer satisfaction.
