FUN FACTOR INCLUDED: MORE EFFICIENCY, PRODUCTIVITY AND ACCEPTANCE WITH FIORI

At the same time as the introduction of S/4HANA, the launch of Fiori was also on the agenda at IWB. We were entrusted with this task as part of the individual project “Fiorization for User Experience UX”. The aim was to simplify and optimize work processes by using the new Fiori technology.

THE CHALLENGES

The main objective was to make using SAP not only more attractive for users, but also more intuitive and efficient. In addition, the project was to provide tangible positive impetus to support the change that would come with the introduction of S/4HANA. A suitable project methodology had to be developed in close cooperation with the customer so that this desired lighthouse effect could be achieved through the use of Fiori.

The simultaneous migration to S/4HANA in a brownfield approach posed additional challenges: For example, the individual test phases had to be synchronized so as not to burden the test resources with additional test days. In general, it was a crucial task to optimally allocate the various resources as part of the parallel implementation of the projects.

OUR APPROACH

We deployed a highly qualified and highly motivated team of consultants, project managers, developers and test managers for the implementation - this enabled us to optimally cover the areas of architecture consulting, change management, technical implementation and test management.

A detailed analysis and clustering of the transactions used to date revealed the potential of Fiori and created the basis for a targeted approach. Based on this analysis, we identified the areas of purchasing, accounts payable, engineering, IS-U and warehouse as particularly relevant and focused on their implementation. We conducted joint workshops based on a fit-gap analysis. In total, more than 130 Fiori applications were put into operation and made available to the specialist departments. These included the Fiori apps in the IS-U area of meter reading and billing.

In general, the aim was to stay as close as possible to the standard. For specific extensions and in-house developments, we used CDS Views, RAP (RESTful Application Programming Model), Fiori Elements and SAPUI5. We also activated various workflows in the areas of accounts payable, ordering, CATS (approve time recording) and PPM for MyInbox and enabled mobile use.

In addition to mobile access by up to 700 devices at IWB to the Fiori Launchpad, push notifications on mobile devices were enabled as a special feature. For this, we used the "SAP Mobile Start" app and the "SAP Build Work Zone" service as part of the SAP Business Technology Platform (SAP BTP).

In addition, we supported IWB's internal IT department in setting up the provisioning of SAP S/4HANA to SAP Cloud Identity Services in order to ensure the uniform design of authentication and authorizations. We also provided the Fiori role concept. This successfully ensured that the existing authorization concept was effective and that the roles were correctly assigned to the applications.

THE RESULT

The positive results of the successful introduction were quickly apparent:

User satisfaction
The new, attractive Fiori interface has been extremely well received by IWB users, which has contributed significantly to greater acceptance and motivation. The consistently positive feedback confirms that the new solution offers clear advantages over the old interface. For occasional users in particular (e.g. management), the new interfaces make their day-to-day work much easier. The performance of the new system is also impressive in the area of analytical apps.

Mobile use
The ability to use SAP on mobile devices significantly increases the flexibility and productivity of employees. For example, working times can now be conveniently approved on the move.

Workflow optimization
The handling of processes has been greatly simplified, leading to a noticeable increase in efficiency, especially because the workflows can now be used on mobile devices.

The successful launch lays a solid foundation for the future Fiori strategy and the further Fiori rollout at IWB. The backlog that has been developed will enable further topics to be seamlessly driven forward.

ABOUT IWB

IWB supplies the Basel region. With energy. With water. With telecoms. With mobility. In Switzerland, IWB is the first port of call for climate-friendly energy. In this way, IWB contributes to a high quality of location and life in the Basel region and beyond.

“The individual project User Experience (UX) S/4 was the indispensable beacon from the outside during the entire S/4HANA conversion. It made SAP to Go possible at IWB, which makes me particularly happy as the overall project manager.”

Lukas Friedrich, Overall Project Manager S/4HANA

“The performance of the Fiori tiles is even better than during the test cycles! Even views with different tiles and visual representations load within a very short time. It’s really fun to be able to click back and forth intuitively without any major delays.”

Jonas Koch, sub-project manager Fiorization
